When you share your enquiry with us, we explain which personal data we use, why we need it and the choices available to you.

This statement covers the website, initial contact and registration. If a specific collaboration requires additional data, we will inform you about that processing.
2. Which data do we use, and why?
| Situation and data | Purpose | Legal basis |
|---|---|---|
| A contact enquiry: name, email address, message, selected topic and timing. Organisation and phone number are optional. | To answer your question, contact you and prepare a possible assignment. | Steps taken at your request before a possible agreement; for general enquiries, our legitimate interest in responding carefully to business questions. |
| An introduction request through the short form: name and email address. | To contact you about your request for an introduction. | Preparation for a possible agreement, or our legitimate interest in responding to your request. |
| Professional registration: contact details, expertise, relevant experience, a brief description of a change or business challenge, motivation, LinkedIn profile and an optional CV. | To discuss your experience and assess whether there may be a suitable collaboration or assignment. | Preparation for a possible collaboration at your request. We ask for separate consent to retain details for future opportunities. |
| Technical data: IP address on connection, browser and request information, time, form reference, submission page and derived security codes. | To operate the website, process enquiries, investigate errors and reduce spam or misuse. | Our legitimate interest in a secure and reliable website and protecting visitors' data. |
Your name, a valid email address and the information marked as required are needed to use the form. Without them, we cannot handle your enquiry through the form. You can also call or email us. Professional introductions require answers to the short questionnaire and a LinkedIn profile. Attaching a CV is optional.
We receive the information directly from you and technical data when you use the website. Do not include a citizen service number (BSN), identity document, medical data or other sensitive information unnecessary for an introduction. The website does not ask for your bank account, date or place of birth, or gender.
Ticking the privacy acknowledgement does not give consent for advertising, a newsletter or indefinite CV retention. We use your submission to handle your enquiry.
3. How long do we retain data?
We do not apply a blanket twenty-year retention period. Retention depends on the purpose and necessity of the information:
- Contact and introduction requests: for as long as needed to handle your question and the resulting business discussions. We determine the end of the period by considering whether the question is resolved, any ongoing arrangements and the need to substantiate correspondence. Once the purpose no longer applies, the data should be deleted or anonymised.
- CVs and data for a specific selection process: where no collaboration is agreed, deletion no later than four weeks after the process ends. Retention for future opportunities requires separate consent and is limited to one year after the process ends. You can withdraw consent earlier. Sending a CV alone is not consent to inclusion in a permanent candidate database.
- Technical security data: only for as long as necessary to handle requests, reduce misuse or investigate a specific incident. Temporary spam limits expire; a stored enquiry may also retain a derived security reference for as long as the enquiry is kept.
- Data forming part of an agreement or administration: the necessary contractual or statutory period. Basic tax records generally must be retained for seven years. This requirement does not automatically apply to every enquiry or CV.
Where a legal obligation or a specific dispute requires longer retention, we limit it to the relevant information and purpose. These periods describe our retention policy; the form does not automatically delete enquiries or CVs.
4. Who receives your data?
Access to enquiries and CVs is restricted to the authorised Beste Mensen administrator. Other website visitors cannot view the information. The website form does not automatically send CVs to clients.
- Hosting, website security and storage: the website runs on ChatGPT Sites/OpenAI and Cloudflare infrastructure. These services provide technical website operations and storage of enquiries and files.
- Email contact: our domain email uses Microsoft 365. Messages you send to us, and our email replies, are processed through that service.
- Google Maps: when you choose to load the map or open directions, Google receives connection data. See section 6 for more information.
- Other recipients: only where needed for a specific collaboration, an action you request or a legal obligation. We discuss the relevant step with you before sharing a profile in an assignment process.
Website enquiries are stored in the restricted enquiry overview. We use Resend to send email notifications to info@beste-mensen.nl. Notifications contain the enquiry details and, where a CV was provided, a restricted download link. The CV itself is not attached. Delivery also depends on the configuration and availability of the email service; the enquiry remains stored if delivery fails.
5. Processing outside the EEA
The cloud and mapping services named here operate internationally. Data may therefore be processed or accessed outside the European Economic Area, for example for technical support. We cannot state that all data remains exclusively in the Netherlands.
Transfers for which we are responsible require a valid international transfer mechanism, such as an applicable adequacy decision or appropriate safeguards using European standard contractual clauses. You can contact info@beste-mensen.nl to request information about the service providers, processing locations and safeguards applicable to your data.
Please also read the information from OpenAI, Cloudflare, Microsoft and Google. This information does not replace our own responsibility.
6. Cookies, Google Maps and external links
We have not incorporated Google Analytics, advertising pixels or automatic newsletter subscriptions into this website. Technical hosting and security services may process data to operate the website and prevent misuse.
The Google Maps map on the contact page is disabled by default. It only loads when you click “Show Google Maps”. Google then receives information including your IP address and browser details and may use cookies or similar technologies. You do not have to load the map to see our address or contact us. External directions and social media links open the relevant provider's service, where that provider's privacy policy also applies.
More information is available in our cookie policy.
We remember your explicit language choice (Dutch or English) in your browser's local storage. This functional preference contains no contact details and is not used for advertising or analytics. You can change it using the language selector or clear it in your browser settings.
7. Security and automated checks
The website uses HTTPS. The enquiry overview and CV downloads are restricted. Forms use input validation, signed security codes, a spam trap and submission limits. These checks help reduce unwanted submissions and may temporarily reject a request.
This website does not make solely automated decisions about your suitability for an assignment, or other matters with legal or similarly significant effects. Security checks are not automated selection of professionals.
If you believe there is a security issue or that your data may have been shared unintentionally, please email info@beste-mensen.nl.
8. Your privacy rights
Subject to the processing and applicable legal conditions, you have rights to access, correct or erase your data, restrict its use and receive portable data. You may object to processing based on legitimate interests. Where consent is the legal basis, you may withdraw it at any time. Withdrawal does not affect the lawfulness of earlier processing.
Send your request to info@beste-mensen.nl. We normally respond within one month of receipt. For complex or multiple requests, the period may be extended by up to two months. We will explain any extension within the first month.
We verify your identity proportionately, preferably using information we already hold. Do not send a copy of an identity document unless requested. We do not routinely ask for one and, where there is doubt, request only necessary additional information.
9. A complaint or question?
You are welcome to contact us first so we can investigate your question. You also have the right to complain directly to the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
10. Changes
We update this statement when the website or our processing changes. The date above shows the latest revision. If we intend to use previously collected information in a materially different way, we will inform you before doing so.
